Start with non-negotiable requirements
Some clients prescribe an approved portal, data location, access method or contractual process. Those requirements take priority over the convenience of a service you already use. This guide does not certify legal compliance or decide whether a provider is suitable for regulated information. Record the requirement and obtain the appropriate internal decision rather than interpreting a marketing security statement as approval.
Distinguish delivery from review
A folder containing drafts does not necessarily provide the structured feedback, version comparison or approval evidence needed for creative review. If your immediate problem is conflicting comments, use a review process suited to that task. This publication focuses on moving an agreed package through collection and delivery, not replacing a specialist proofing workflow with a download link.
Account constraints can decide the issue
A client unable or unwilling to create an account may still be able to retrieve a release through an appropriate link. That does not mean ongoing collaborative editing will work the same way. Region and permission requirements matter for collaboration. Do not create duplicate client accounts or broaden access to work around an unexplained failure.
A fictional stop decision
A client requires named-user access and an approved audit trail for confidential records. The studio has only established that a share link opens. That evidence is insufficient. Keep the existing approved route while requirements are evaluated. Declining a poorly matched tool is a successful decision; an affiliate relationship is not a reason to minimize a requirement that the published evidence does not satisfy.
Put the decision into practice
Keep mandatory requirements distinct from preferences. A preferred visual style can be traded off; an unfulfilled client access policy cannot be treated the same way. Record a stop condition before comparing prices so that a discount does not gradually turn an unresolved mandatory requirement into an ignored footnote.
Where the safety evidence stops
This guide draws on NCSC: using SaaS securely, pCloud folder invitations, pCloud shared links. Merchant-controlled records describe the provider’s own capabilities, terms or standards; they do not independently validate those claims. Other cited records provide additional context. A different publisher or a research, regulatory or certification label does not by itself establish independence, relevance or product validation.
Verify any current price, plan limit, label direction, compatibility rule, or commercial term that would materially change the decision. The dated source ledger shows the underlying records so this conclusion can be checked and updated.
